Tenant maintenance notice email template

A notice has to be read in seconds, so this one is built like the paper version taped to a lobby door. The date and time come first, then one box answers what, when, where and what to do before and after, so nobody has to ask the office.

Example subject line

What's in this template

  1. Yellow caution strip naming the work and the building
  2. Large date and time
  3. Short paragraph explaining the work
  4. Bordered box with 5 rows: what, when, where, before, after
  5. Black band for questions and medical needs, with a button: Contact the office
  6. Small print saying the notice is also posted in the building

When to use it

Use it for planned utility shutoffs, elevator repairs, inspections or any work where tenants must prepare, ideally several days ahead. An HOA or a facilities team can send the same kind of notice.

Make it yours

  • Put your own date, hours and building in the headline and the strip.
  • Rewrite the five box rows for the work you are doing.
  • Keep the black band even for routine work. It is where tenants look for a phone number.
