Security update notice email template

Security emails get read closely, and the ones that sound alarming get ignored. This one says plainly what changes and when, tells people already set up they need do nothing, and gives everyone else three steps and a person to reply to.

What's in this template

  1. Dark header: eyebrow with the start date, headline and an intro
  2. Card showing a sample 6-digit code
  3. What this means for you: 2 columns for set up and not set up yet
  4. 3 numbered setup steps
  5. Why now: short explanation and a set-up button
  6. Signature block with a round photo, name and role
  7. P.S. line telling readers to reply with questions

When to use it

Use it before you change how people sign in or how their data is protected, such as requiring two-factor sign-in or a new password policy. Send it well ahead so every account holder has time to prepare.

Make it yours

  • Set the real start date and what is required of each user.
  • Match the three steps to your actual setup screens.
  • Sign it with a real person and an address that reaches them.
